We are a virtual assistant outsourcing company which specializes in providing services on digital marketing, administrative tasks, customer support, social media management, audio and video, bookkeeping and other services.

We offer a myriad of services to help you in your personal or business needs.

Following our vision of having “Excellent virtual assistants at your own convenience,” Prominent Outsource has a pool of experienced VAs for different tasks. We have one of the most expansive services when it comes to the industry. We specialize in administrative tasks, customer support, and digital marketing. Rest assured, however, that we are adept in delivering all of the services we offer.

Prominent Outsource follows a comprehensive process of connecting you, our clients, with our Virtual Assistants. We can do this in five easy steps:

Our VAs are composed of competent Filipinos living in the Philippines. Our main office is located at Bacolod City in the island region of Visayas but our VAs are from different parts of the country. They are required to undergo extensive training and mentorship before handling actual tasks with clients to guarantee you the best experience.

Our Virtual Assistants

General Virtual Assistants are those who can handle different VA tasks. Some of these tasks include customer service support, answering emails, booking schedules and travel, copywriting, social media management and more.

Both. Prominent Outsource offers both full-time and part-time VAs. In hiring one for you, it depends on your needs and preferences.

We have VAs who can offer full-time services with 35 to 40 hours per week and part-time with 20 to 35 hours per week. We want to address your needs best so you are free to decide which would suit you better. If you are unsure as to which package you need, you can contact us for a free consultation.

As an outsourcing company, we connect you, our client, with our pool of Virtual Assistants. As such, once they are engaged with you, our VAs will dedicate their time to you and they will mainly handle all the tasks you will give them.

Yes. We take pride in our competent VAs who are comfortable in speaking in English. In fact, it is a requirement for all our aspiring VA applicants. As a company with clients from all around the world, we only hire people who can communicate with you well.

After hiring your chosen VA, you are free to choose which platform to use to reach them. This can be discussed as early as during the interview to give you additional insight in deciding. Most of our clients use gmail for general tasks and Viber or Telegram for instant messaging options (might vary depending on the actual answer of PO).

Billing & Payments

Before we can shortlist candidates for you, you need to pay a required deposit fee first. There will be a form that you need to accomplish containing all our pertinent payment details.

We will then provide you a selection of VAs who best suit your needs. An interview will commence and you are free to choose your preferred VA. Once you’re done selecting, we will make arrangements on your weekly scheduled payment during the onboarding process.

You can pay via Stripe, credit card or direct bank transfer. Once all forms are completed and everything has been set up, your payments will be auto-debited on the same day weekly unless otherwise specified.

We understand that there may be some tasks that require additional work hours. As such, we can accommodate them as long as you agree to pay for the additional expenses.

The additional hours will be based on your VA’s hourly rates and it will be computed based on your regular monthly fee.

For extra work hours outside of your VA’s regular working hours, please contact us to know the overtime rates.

We take care of our Virtual Assistants, as much as we do in our clients, by observing a Fair Work Policy.

If you need them to work overtime outside of their regular working hours, overtime pay is required. For more information, please contact us to arrange it properly.

No, our VAs working hours are standard and it can only be used within the same month unless otherwise specified.

If for any reason you are not satisfied with your Virtual Assistant, contact us immediately so we can talk about it. We know that there may be different reasons for this scenario, so we encourage you to discuss it properly first before going into the details.

Hiring & Recruiting

It depends. The hiring process would be based on the type of skill set you require. For our General Virtual Assistants, it usually takes 1-2 weeks for us to provide you with a shortlist of candidates than a Technical Virtual Assistant which could take a bit longer.

Our selection of shortlisted candidates is based on our longstanding experience in catering to different outsourcing needs. At the same time, we will also take your inputs and preferences into consideration when preparing the pool of candidates. This will be based on the initial consultation we’ve discussed with you or other information you may have presented to us.

After preparing the pool of candidates, the final decision will be up to you.

Upon submitting a shortlist of candidates, we will schedule a video or audio interview between you and the candidate. It usually takes place via Skype, Zoom or whichever video conferencing platform you prefer.

Our Recruitment Manager will also be present during the interview to serve as a moderator to facilitate all the important questions.

If you still haven’t chosen a VA among the shortlisted candidates we presented, we can give you another list to widen your options.

No, there is no limit. We understand that they may be additional tasks that you might need help with so you can actually hire other VAs to do the job for you.

Working with your VA

Once you select your Virtual Assistant, a minimum of three months of initial commitment should be observed. This time will serve somewhat as a probation period to properly integrate our VA into your company.

This can also be negotiable depending on the type and scope of work you need so it will be best to contact us for more information.

Cancelling your package within the first three months requires you to pay for the remaining days after you decide to cancel.

As soon as the three months “probationary” period starts, our Virtual Operations Manager (VOM) will be overseeing the relationship between you and your Virtual Assistant. This is to help you with the onboarding process and to assist you in other support you may need.

After this period, we will still be available for your concerns through our Operations Manager and Customer Support Team.

We require all our VAs to submit a daily performance report to track their progress. We recommend having an output-based report than a time tracking tool unless otherwise specified.

Our VAs follow your work schedule. As such, it is up to you to give them a free day on public holidays in your country.

The same goes with public holidays in the Philippines, where all of our VAs are based. It will be up to you to decide on whether they can take the day off or not.

In case of emergencies and other calamities that may disrupt your VA’s work schedule, they are required to send you an immediate notice as soon as they can.

In case our VAs fail to contact you within 24 hours, you may contact us so we can find you a temporary replacement.

For part-time VAs, you are not required to give them lunch breaks. However, full-time VAs are entitled to a 1-hour lunch break following their 8-hour shift.

All of our Virtual Assistants are required to sign a confidentiality agreement to protect your private data and theirs. Part of this agreement also states that they are not allowed to discuss work matters outside their client and work team.

In case you need to share your account details such as credit card and other personal or business information, Prominent Outsource will not be held liable for any loss or issues that may be incurred from the misuse of such information.
